Employment Classification

In this policy the terms exempt and non-exempt refer to pay status under the federal Fair Labor Standards Act (FLSA). A non-exempt employee is eligible for overtime pay for all hours worked over 40 hours in a work week. An exempt employee is not covered by the provisions of the FLSA and is therefore not eligible for overtime pay, regardless of the number of hours worked.

One of the following categories classifies University employment status:

Executives

The President of the University and members of the Cabinet. All employees in this category are FLSA-exempt and full-time.

Administrators

Senior-level employees who are not members of the Cabinet and whose job includes significant oversight of staff or critical functions, such as Vice Provosts, Deans, Assistant and Associate Vice Presidents and Vice Provosts, and those with a similar level of responsibilities. All employees in this category are FLSA-exempt and full-time.

Full-Time Faculty

Employees who hold academic rank, and whose primary appointment is to engage in academic instruction and who may be eligible for voting membership in the Faculty Council pursuant to the Faculty Council Constitution and Bylaws.  For reporting and classification purposes, this category also includes faculty who serve as Academic Program Administrators, Faculty Directors, or in other administrative faculty roles. All employees in this category are FLSA-exempt.

Adjunct Faculty

Part-time employees who hold academic rank, and whose primary appointment is to engage in academic instruction and who may be eligible for voting membership in the Faculty Council pursuant to the Faculty Council Constitution and Bylaws. All employees in this category are FLSA-exempt.

Librarians

 Librarians and Senior Librarians have earned the professional graduate training credential (M.L.S. or M.L.I.S.) from an American Library Association accredited program. Librarians and Senior Librarians with faculty status (Librarian Faculty) have earned this graduate training credential and are employed in positions that include teaching and research. Librarian Faculty are eligible for voting membership in the Faculty Council pursuant to the Faculty Council Constitution and Bylaws. All employees in this category are FLSA-exempt and may be either full-time or part-time.

Staff

Full-time or part-time employees who do not fall in the above categories, and may either be exempt or non-exempt under the FLSA, depending on their duties and salary level.

Staff employees are either full-time, part-time regular, or part-time on-call. The definitions of each category are below.

Full-time: Employees in a position scheduled to work 9 to 12 months a year, 40 hours per week.

Part-time Regular: Employees in a position scheduled to work a regular schedule, between 20 and 39 hours per week (inclusive), over 9 or more months per year. Part-time regular employees are eligible for holiday pay if the holiday falls on a scheduled work day, and are granted prorated leave benefits.

Part-time On-Call: Employees in a position whose work hours are scheduled on an on-call basis only as needed and determined by the immediate supervisor. Work hours are not guaranteed and remain sporadic per workday or per workweek.

Student Employees

Student employees are currently registered students who accept part-time employment for the University, and are designated as part-time on-call. Student employees should be limited to 20 work hours or less per week in general during spring and fall semesters, and should only exceed 20 hours in a week during those semesters in rare circumstances. During other periods of the year (i.e., winter and summer breaks), supervisors may approve student schedules of more than 20 hours per week but less than 30 hours per week, provided that sufficient funding is available. Any exceptions of greater than 30 hours per week must be approved by both the Human Resources and Finance offices.
Work Study Students are assigned to work for the University in exchange for federal financial aid.
